Texas Sports Academy
Workshop Capture privacy policy
Effective 29 October 2026
Workshop Capture is used by Texas Sports Academy ("TSA", "we") to film the Life Skills workshops its guides run at TSA campuses, so TSA staff can review them and families can watch. It is not for the general public: a phone can only be set up by TSA staff who sign in with their TSA account.
What we collect
- Video and audio of workshops. The phone films the workshop it is set up for, or a staff member uploads a workshop video they choose from the phone's Photos. Students and guides appear and can be heard in these recordings, and some students are minors. While a recording is in progress the phone also sends an occasional still picture from it, so staff can see the camera is pointed at the room, and a practice can be watched live.
- Transcripts and summaries made from a recording's audio.
- Staff sign-in details: the name and email address of the TSA staff member who signs in to set up a phone or to use the review page.
- Phone status: the phone's battery level, free storage and when it last checked in, so staff know a campus phone is ready to record.
We do not collect location, contacts, advertising identifiers or browsing data. If a video chosen from Photos carries the place it was filmed, that is removed when the server makes it watchable, and the uploaded original is deleted. The app has no advertising and no third-party analytics, and we do not track anyone across other companies' apps or websites.
How we use it
- So TSA staff can watch, review and improve workshops, and keep a record of what was taught.
- So a campus's guides can see their own campus's workshops, and families can watch their campus's workshops, live or afterwards, through a link TSA sends them.
- To show which staff member set up each phone.
We do not sell this information or use it for advertising.
Who it is shared with
- Amazon Web Services stores the recordings and runs the service for TSA.
- Anthropic (Claude) processes workshop transcripts to write short summaries for TSA staff. Anthropic does not use this data to train its models.
- Google signs TSA staff in with their TSA account.
- Slack: TSA staff may receive a text summary of a campus's workshops in TSA's Slack.
Recordings are also saved to the Photos library of the campus phone that filmed them.
How long we keep it
Recordings are kept until TSA deletes them. An authorized TSA staff member can delete a recording from the review page; a deleted recording is no longer shown to anyone and is erased from storage within 30 days.
Your choices
Families and staff can ask to see, or have us delete, a recording they or their child appear in. Email alexander@texassportsacademy.com and we will reply within 30 days.
Children
Students, including children under 13, may appear in workshop recordings. The app is used only by TSA staff, never by children. Recordings are made as part of TSA's school program and are only available to TSA staff and to the families of the campus.
Security
Recordings travel encrypted (HTTPS) and are stored privately; nothing is public. Each recording is reached only through a TSA sign-in or a private link that TSA can switch off.
